Fill out the form below, and turn your next party into a fundraiser for AIDS Emergency Fund
Each year, AEF receives over $500,000 through Third Party Fundraising Events.
We rely on dozens of dedicated supporters who use their talent and creativity to raise money for our clients. AEF is the beneficiary of such fabulous Third Party Fundraisers as bar events, drag shows, birthday parties, restaurant and spa launch parties, bake sales, weddings, and much, much more. Events can be as large or small as you like — the only limit is your imagination.
We’d like to help make your event an enjoyable success!
As you plan your event we recommend these easy steps:
Step 1
Give us a call, let us know what you’re thinking. We’re happy to brainstorm and talk about your ideas! Contact Sean Greene, Communications & Volunteer Manager at sean.greene@aef-sf.org or (415) 558-6999 ext. 225.
Step 2
Fill out AEF’s online Fundraising Event Information form below and submit it to our development deparment. Note: If you would like us to promote the event on the AEF website and through our electronic events newsletter, eHearts, then do not specify Event Type as “Private Party.”
Step 3
We’ll contact you within 5 business days to confirm AEF's seal of approval and permission to use our name and logo on promotional materials.
AEF is happy to provide:
- Basic event planning advice
- AEF representative (if available)
- AEF marketing materials
- An event listing in our online events calendar and electronic newsletters
- Use of AEF name and logo
- A letter of support that validates the authenticity of the event
- AEF donor envelopes to collect cash, check or credit card donations, as well as contact information for donors who wish to receive donation acknowledgments
- Tax receipts to donors (when complete donor name, address, and total dollar amount paid by each donor is provided)
AEF cannot provide:
- Funding or reimbursement for event expenses
- Access to AEF donor or mailing lists
- Administrative or logistical assistance for the event (e.g. distributing invitations, compiling RSVPs, selling tickets, sitting on steering committees, etc.)
- Access to celebrities or VIPs
- Guarantee to supply prizes, auction items, or awards; event promotion or advertising; event volunteers
A few things to remember as you plan your event:
- You must make it clear that you are the event producer and that AEF is the beneficiary.
- All advertising and promotional materials must clearly disclose to the public the specific amount of money from the consumer’s purchase that will be donated to AEF (for instance, $10 of each ticket purchased or 10% of sales, etc).
- AEF requests a check for the event proceeds, along with an accounting of those proceeds within 60 days following the conclusion of the event.
- AEF can issue tax receipts only to individuals or organizations that make a donation without receiving any product or benefit in return.
- Purchases of raffle tickets, event admission tickets, auction items are not eligible for tax receipts.
- Because of the processing involved, check and cash are preferred for Third Party Event donations. Tax receipts can only be issued for donors when complete donor name, address, and total dollar amount paid is provided.
- If participants wish to pay by credit card, please have them fill out the donation coupon on the back of the AEF donor envelope and they can submit these directly to AEF for processing.
- If you anticipate a large number of credit card transactions (for example, if you are organizing a gala event), please let us know in advance and we will provide the forms needed.
